Recording a Telehealth call

How to begin a Telehealth session and capture all audio as a transcript to inform your analysis.

After Sending Assessments and reminders, you will be guided to Step 3 where you can record your session. If you return to any other step from the Patient Management table, you can navigate to Step 3 at any time.

  1. Select 'Telehealth video' from the dropdown menu:


  2. Ensure you allow Oqea Frame to access your microphone and camera through your browser settings.


  3. Select which camera and microphone you wish to use, and join the call.

  4. As soon as you join the call, the patient will be sent an SMS with a link to join the Telehealth session.


    Note: If your patient is experiencing any difficulty ​joining the call, or hasn't received the message, you can trigger it to be resent from within the Telehealth session by selecting the 'Resend join link' button.


  5. As you commence your call, it is best practice to gain your patient's consent for the use of an transcription feature during your session. This feature will generate a script that will be used as an input into the clinical analysis. To help guide the conversation with your patient, we've provided some key points for you to cover.

  6. Once you gain consent, you can click the 'Start AI Abmient with consent' button. The volume indicator will move to show recording is in progress. You can click 'Show transcript' to also check the audio transcription is recording correctly, but this will be hidden by default.

    If your patient doesn't consent to being recorded, you can still host your Telehealth appointment through Oqea Frame, but no transcript will be used in the analysis, and this may compromise the quality of results.

  7. You can also add a quick note while in session with your patient to add any observations that may be missed through the audio transcription. This note is limited to 1000 characters, and will auto-save after you type.

  8. You can pause your transcription at any time, but there is no 'Stop'. Simply leave the call and the transcription will be saved.

    Note: If you, or your patient, choose to 'Mute' your microphone, you will see a warning that the transcription will be interrupted until you are unmuted.

  9. You can record multiple sessions and they will all be counted in your analysis.

  10. For both face-to-face and telehealth, keep the Oqea Frame browser tab as the active tab. Modern browsers will de-prioritise inactive tabs, which can risk breaking Ambient Listening/Telehealth sessions.

  11. If speakers are mislabeled (e.g., both clinician and client appear as "Speaker 2"), don't worry – this won't impact the final output and accuracy will improve with use.
